
Q. What do I do if I receive a violation notice?
A. You must respond in writing regarding the violation within the timeframe stated on the notice. A correction response form is provided with the violation letter also available online. In your response give a brief description of explanation of compliance.
Q. How do I dispute a fine?
A. If you have received fines on your account for a violation and you would like to dispute the fine you must place your concerns in writing and send your request to your community manager. She or he will forward it to be reviewed by the Board of Directors at your associations next Executive Board Meeting. These types of board meetings are closed to all other owners so your dispute will remain confidential between yourself, management and the Board of Directors. You will receive a response in writing within 10-14 days after the board meets with a decision regarding your disputed fine.
Q. How do I request a hearing in front of the Board of Directors?
A. If you would like to have a hearing in front of the Board of Directors you must place your request in writing to your community manager. Your request will be placed on the next agenda for an Executive Board Meeting. These types of board meetings are closed to all other owners so your dispute will remain confidential between yourself, management and the Board of Directors
Q. How long does it take for an Architectural Form to be approved after it has been submitted?
A. As all associations are different have different sets of documents it depends upon the governing documents for your community. It can take anywhere from 30 to 45 days upon receipt by the Board of Directors or Architectural Committees. It is suggested that you review your governing documents before purchasing your home or condominium.
Q. Where can I obtain a copy of the Architectural Submittal Form?
A. Your community manager or their assistant is always happy to provide you with a copy of the application. You may contact the manager or their assistant for a copy. Your community manager or their assistant can email, fax or mail you a copy. Also, if your community has a web site it can be found under 'Documents' and you can print it out at your own convenience.
Q. How can I obtain a gate key, gate card, remote or pool key?
A. As each community is different and has different rules regarding their amenities you must verify with your community manager on how to obtain any of these items.
Q. How do I log a complaint and/or a violation?
A. For times when you have a complaint regarding your community or you would like to report a violation your complaint needs to be placed in writing, and either email, fax, or send it by regular mail. If your community has a web site, you can log the compliant through the web site. Please include the address of the violator and the infraction in question. All information is kept confidential.
Q. How do I change my mailing address?
A. If there is ever a time you want your HOA mail going to an alternate address your change of address must be in writing and signed. You can either fax it or send it via regular mail. Without this information in writing; your HOA mail will not be changed and your mail will continue to go to the address our office has on file for you.
Q. How do I get my name on the gate directory?
A. As each community is different and has different rules regarding their gate systems you must verify with your community manager on how to get your name in the gate directory.
Q. How do I obtain a common area insurance binder?
A. The insurance company for your community can provide you with this information and provide you with a copy of the insurance declaration page. Please contact the management company for the name and phone number of the insurance carrier for your community.
Q. How can I rent the clubhouse? Is there a deposit? Is it refundable?
A. You can rent the clubhouse by contacting the community manager or their assistant and filling out the necessary forms. As all associations have different rules regarding the clubhouses you must verify with your community manager regarding deposits.
